Role purpose
The Operatrions Director will design and manage the internal systems that enable the Global Grids Catalyst (GGC) to operate smoothly as a global, distributed team. This role coordinates the core operational functions of GGC — including grants administration, governance processes, MEL systems, knowledge management, digital workflows, events and logistics, and team coordination — while working closely with the Pooled Fund on International Energy (PIE), which currently hosts GGC, on formal HR, finance, and contracting.
As a central partner to the Executive Director, the Operations Director will ensure high-quality funder interactions, effective internal communication, and strong operational coherence across the Secretariat. As GGC evolves, the Operations Director will also support the Executive Director in assessing and recommending potential future hosting and governance options.
Major Duties and Responsibilities
Grants & Contracts Administration
- Coordinate preparation, quality control, risk assessment, and submission of grant packets, due-diligence materials, and reporting to PIE.
- Evaluate and manage consultant contracts, track deliverables, and maintain a database of consultants and their skillsets.
- Maintain internal grant tracking tools, including strategic objectives, geography tags, timelines, and risk logs.
- Ensure consistent workflows and smooth coordination between GGC program staff and PIE’s grants team.
Team Coordination & Internal Operations
- Manage Secretariat rhythms, including team meetings, retreats, internal communications, and shared calendars.
- Coordinate closely with the Executive Assistant on meeting preparation, travel coordination, and event logistics.
- Support recruitment and onboarding workflows in collaboration with PIE’s HR systems.
- Help cultivate a collaborative, inclusive, and high-functioning team culture.
Governance
- Design and implement internal GGC governance systems, including those related to the Funder Advisory Committee and PIE interface.
- Codify governance processes and ensure consistent adoption across the team.
- Manage governance calendars, document control, versioning, decision tracking, and recordkeeping.
- Support the Executive Director in preparing materials and coordinating interactions with funders and governance bodies.
Monitoring, Evaluation & Learning (MEL)
- Work with GGC’s MEL program staff to operationalize learning and metrics into organizational decision-making.
- Collaborate on the development and refinement of dashboards and other tools for grantees and funders.
- Integrate emerging insights from grants, regrantors, and the Community of Impact into MEL processes.
Knowledge Management & Internal Systems
- Define and maintain GGC’s digital workspace, filing structure, and document taxonomy (SharePoint, Google Drive, Monday.com).
- Build systems for document versioning, tagging, access management, and internal communications.
- Maintain CRM/contact lists and standardize templates for Secretariat use.
- Ensure adherence to confidentiality and data security protocols.
IT & Digital Infrastructure Coordination
- Serve as the internal point of contact for ECF and PIE IT support; coordinate troubleshooting and issue resolution.
- Manage onboarding/offboarding for digital tools and ensure that staff adhere to digital security protocols.
- Maintain an inventory of software platforms and recommend improvements as needed.
Hosting & Governance Options (Forward-Looking)
- Support the Executive Director in analyzing operational, legal, and organizational considerations of different hosting models.
- Develop scenarios and recommendations to inform GGC’s future hosting and governance arrangements.
Profile
Required Qualification
- Minimum 8 years of experience in operations, project management, or coordination roles within globally distributed NGOs, foundations, or philanthropic collaboratives.
- Demonstrated experience in grants administration, governance support, workflow design, or knowledge systems.
- Strong proficiency with digital tools such as Microsoft 365, SharePoint, Monday.com, Fluxx,
- Google Workspace, or similar platforms.
- Excellent organizational and coordination skills with strong attention to detail.
- Experience coordinating across multiple time zones and cultures.
- Strong written and verbal communication skills in English.
Preferred Qualification
- Experience in the climate, energy, or international development sectors.
- Familiarity with philanthropic governance, regranting, or multi-funder collaborations.
- Fluency in an Asian language is an asset.
Terms of Appointment
The remuneration package is competitive and commensurate with experience. The appointment will be on an open-ended basis, subject to local hiring conditions.
Working Conditions
- Fully remote position based in Asia; requires regular coordination across US–Europe–Asia time zones.
- Occasional international travel for retreats, workshops, or funder meetings.
- Must have reliable internet access and ability to work flexibly.
